When you DON'T need custom software

Odd thing to write for someone who makes a living building custom tools. But if I sell you something you don’t need, you’ll figure it out in three months and we’ll never speak again. If I tell you the truth, you might come back when you actually need it. The maths favours the truth.

When an off-the-shelf tool already covers you

If you sell online and Shopify does the job, stay there. If your invoicing software gets the work done, don’t touch it. Custom is worth it when your business has something the ready-made tools don’t cover: a flow of your own, a combination of systems, a volume that subscription tools charge a fortune for. If you don’t have that point of friction, off-the-shelf is the right answer.

When your process changes every month

I’ve written about this in when automation is worth it: automate chaos and you get faster chaos. A process that hasn’t settled will break the tool every week, and you’ll be paying for fixes instead of results. Stabilise it with pen and paper first, then come.

When the problem is human, not technical

If the team doesn’t update the Excel you already have, they won’t update the new tool either. Software strengthens a process that works; it doesn’t create discipline from scratch. Solve who does what first, then make it fast.

So when is it worth it

When you’re losing measurable time or money on work that repeats, with stable steps, and the ready-made tools either don’t cover it or charge subscriptions that don’t add up. Then yes, let’s talk. And if you’re not sure which side you fall on, ask me. I’ll tell you straight, even if the answer is “don’t do it”.
